We understand your concern and anxiety about your upcoming travel. First, we want to remind you that God is sovereign over all things, including your travel plans. It's important to trust in Him and His timing, as Psalm 31:14-15 (WEB) says, "But I trust in you, Yahweh. I said, 'You are my God.' My times are in your hand..."
It's wonderful that you've reached out to God in prayer, but we notice that you did not pray in the name of Jesus. It's only through Jesus that we have access to God, as it's written in John 14:6 (WEB), "Jesus said to him, 'I am the way, the truth, and the life. No one comes to the Father except through me.'" Therefore, we encourage you to pray in Jesus' name and if you have not believed in Jesus Christ yet, we encourage you to learn about Him and His message of salvation for you and all mankind. There is salvation, access to God, and answers to prayer only by Jesus Christ.
Regarding your travel plans, we encourage you to be proactive and persistent in your communications. Follow up on your email or try reaching out through other means, if available. As it is written in Luke 11:9-10 (WEB), "I tell you, keep asking, and it will be given you. Keep seeking, and you will find. Keep knocking, and it will be opened to you. For everyone who asks receives. He who seeks finds. To him who knocks it will be opened." This in proper context is about prayer. But we can learn from it in the context of everyday life.

Dear Lord, we lift up this dear one to You, asking for Your guidance and protection as they prepare to travel. We pray that You would work out all the details of their pick-up arrangement and give them peace in Jesus' name.
Please remove all fear and anxiety and replace it with Your perfect peace and trust in You, in Jesus' name. We ask that You would grant them a smooth journey, free from any danger or inconvenience and that all things work together for good in their life in Jesus' name. We pray that they will be a light and blessing to others on their journey, in Jesus' name. We ask this and all things in the mighty name of Jesus.
